Terms of MeMove sports and wellness services

In case of contradictions between the Finnish and English language versions, the Finnish version of terms of services is applied.

MeMove is a university sports service (hereinafter referred to as "Sports Services" or "Sports Services") jointly implemented by Metropolia University of Applied Sciences Ltd (hereinafter referred to as "Metropolia") and the Metropolia University of Applied Sciences Student Union (hereinafter referred to as "METKA"). The terms and conditions of MeMove sports and wellness services are valid from December 19, 2025.

MeMove sports and wellness services reserve the right to change these terms and conditions at any time. In addition to these terms and conditions, users of MeMove sports and wellness services agree to comply with Metropolia's rules and regulations on all campuses.

1. Sports service user groups

1.1 Persons belonging to the following user groups are eligible to obtain access rights to sports services:

  • Metropolia degree students
  • Metropolia staff

Students, staff, or other parties from other higher education institutions are not eligible to obtain access rights to sports services.

2. Passes entitling you to use sports services

2.1 In order to use sports services, you must purchase and activate a pass entitling you to use sports services (“Pass”) in advance. The Pass is personal and may not be transferred to third parties. The currently valid Pass selection, validity periods, and current price list, as well as instructions for activating the Sports Pass.

2.2 Users of the Sports Service must be able to prove their right of use whenever they use the Sports Service. Proof of right of use requires the presentation of the following documents upon request:

  • Metropolia students: a valid student card and a valid Pass.
  • Staff: a staff card and a valid Pass.

2.3 METKA membership automatically includes a sports pass for self-service slots, which entitles you to use the self-service slots.

2.4 Users of the sports service are required to prove their identity upon request by presenting a valid photo ID.

2.5 Sports service staff have the right to remove persons who are unlawfully present at the sports facilities. Sports Services staff have the right to cancel a Pass if the user unlawfully allows a third party to use it or otherwise violates these terms of service or the separate rules and regulations of the sports facility.

2.6 If the right to use the Pass is revoked for reasons attributable to the user, the user is not entitled to a refund for the unused Pass or part of the Pass price.

2.7 A person who has used the Sports Services without authorization is obliged to compensate the Sports Services in full for any damage caused.

2.8 To use the Pass, you must download and use the Gym Control mobile app. Instructions for downloading and using the app can be found at this link. The customer is responsible for ensuring that the device and internet connection used to access Gym Control are in good working order.

3. Cancellations and refunds

3.1 The purchase of a pass is binding and cannot be exchanged for another product or canceled after the payment has been accepted.

3. 2 Exceptionally, long-term or permanent illness or injury may, on a case-by-case basis, entitle the purchaser of the Pass to a full or partial refund if they present a medical certificate stating that the illness or injury prevents them from using the Sports Services completely and for a long period of time.  If a refund is granted for the Pass on the basis of illness or injury, the refund may not exceed the portion of the total price of the Pass corresponding to the remaining period of use of the Pass. The remaining period of validity is calculated from the date on which the Pass purchaser has notified METKA in writing of the illness or disability that prevents them from using the Sports Service covered by the Pass. A processing fee of €5 will be deducted from the refund.

3.3 If the Pass has been paid for with a recreational or sports benefit granted by the employer, the purchaser is not entitled to a refund on the grounds specified in section 3.2

4. Cancellation policy for courses with additional fees

4.1 Registration for courses with additional fees offered by Sports Services is binding, and registration cannot be canceled after confirmation of registration.

4.2 Sports services courses with additional fees will only be held if the number of participants specified in the course description is reached. Sports services reserves the right to cancel a course if there are not enough participants. Fees for canceled courses will be refunded within 14 days of the cancellation notice, provided that the person who registered for the course has provided the information necessary for the refund.

5. Payment methods

5.1 Sports Services accepts the following payment methods: card payment, e-passi.

6. Terms and conditions regarding classes and slots

6.1 Reservations can be made no earlier than 7 days in advance.

6.2 You can participate in classes/slots without a prior reservation by registering on site using the registration device, provided there is space available in the class/slot.

6.3 Participation in all classes/slots requires checking in on site using the registration device or opening the door to the sports facility using the phone app before the start of the class/slot or no later than 5 minutes after the end of the class/slot. Sports Services will not correct forgotten check-ins.

6.4 Reserved classes/slots must be canceled at least 2 hours before the start of the class/slot using the Gym Control app. If you fail to check in for a reserved class/slot 4 times within a month, your reservation rights will be revoked for one month from the first unchecked reservation. Despite this, you can still participate in classes/slots by checking in directly on site using the registration device before the start of the class/slot. 

6.5 Sports Services cannot always guarantee a place in services where the number of participants is limited.

6.6 Sports Services will notify those who have made reservations of any cancellations by email.

6.7 External service providers (e.g., paid coaches) are not allowed to be brought to reserved slots/classes.

7. Service-specific booking terms

7.1 Group exercise classes

7.1.1 A maximum of eight bookings can be made at the same time.

7.1.2 You can sign up for group exercise classes via the queue system. If you get a place from the queue, you will automatically be transferred to the class and will receive an email notification.

7.1.3 You must arrive before the start of the class for group exercise classes. Late arrivals will lose their right to participate in the group exercise class they have booked.

7.2 Gym slots

7.2.1 A maximum of eight reservations can be made at a time.

7.2.2 You can sign up for a gym slot on the waiting list. If a place becomes available on the waiting list, you will automatically be transferred to the class and receive an email notification. 

7.3 Sports hall slots

7.3.1 A maximum of two reservations can be made at a time. 

7.3.2 Sports hall slots may be reserved by one person, who may invite other persons with valid access rights to the service to join them for the slot.

7.4 Badminton slots

7.4.1 A maximum of two reservations can be made at a time. 

7.4.2 The person reserving the badminton court may bring one person who does not belong to a user group to play with them. The person reserving the court is responsible for their playing partner during the same slot and for any damage they may cause.

8. Responsibilities

8.1 All training during instructed classes and self-service slots is always at the user's own risk. Metropolia and METKA are not liable for any personal injury or damage to third parties resulting from the use of the Sports Services. Users must obtain insurance cover appropriate for the type of exercise they are engaged in, at their own discretion.

8.2 The storage of personal property in the sports facilities is always at the user's own risk. Metropolia and METKA are not liable for any damage, loss, or other harm to the user's property.

8.3 The user is fully liable for any damage to property or personal injury caused intentionally or through negligence. Example: The user uses gym equipment contrary to the instructions and causes the equipment to break → The user is obliged to compensate the Sports Services for the financial loss incurred from repairing the equipment or the costs incurred from purchasing new equipment if repair is not possible.

8.4 Users of sports services are obliged to follow the instructions for use of the equipment and the etiquette of sports services.

8.5 Users of sports services are obliged to follow the instructions and rules given by the sports services staff or Metropolia staff.

8.6 MeMove is obliged to disclose personal and booking information to Metropolia if Metropolia so requires. For example, if a customer has damaged school premises, MeMove may disclose the customer's contact details and booking time to the school for the purpose of determining compensation.

9. Force majeure

9.1 Force majeure shall be deemed to include war, insurrection, civil unrest, pandemic, compulsory seizure or confiscation by public authorities for public use, import or export bans, natural disasters, interruptions to public transport or energy distribution, strikes or other labor disputes, fires, or other causes beyond the control of the Parties that are equally significant and unusual. 

9.2 In a force majeure situation, Metropolia and METKA have the right to cancel or make changes to the Sports Services until the force majeure has ceased to exist.
